Business
Processes and Accountability
Businesses are comprised of a number of processes interrelated in a system.
Within the processes are risks. Having identified
processes and risks it is necessary to assign
accountability and resources. This accountability must be
unambiguous.
Documenting
Knowledge
Likewise the knowledge required to undertake a business
process must be accessible and unambiguous. Documents,
procedures (with flowcharts) should describe each of the
identified processes, the ownership of the process,
monitoring and verification methods. Document Control
A very common problem in business is the proliferation of
uncontrolled and out of date business procedures and
documents. The solution is electronic document control,
which maintains only the latest version controlled
electronic documents held on company server or website.
All other documents (downloaded, printed, emailed etc)
are uncontrolled and not guaranteed as latest version.

Process
Improvement (Plan, Do, Check, Act)
The 'Plan,Do, Check, Act (PDCA) Cycle' is a vey useful model to provide a framework
for the improvement of a process or system. It can be
used to guide the entire improvement project, or to
develop specific projects once target improvement areas
have been identified.Exception Reporting
Verification against planned objectives necessitates an
"exception reporting" system, which records in
a clear and accessible way when an "incident"
has occurred (an incident can be a quality, nonconformity, OHS or other issue).
Project,
Meeting and Audit Management
In the past projects, meetings and audits have been
difficult to manage. There is no easy way of searching
records for information such as action lists by
person responsible. There is no easy way of filtering
information for different types of issues, meetings or
responsibility. Unclosed issues raised can be easily
overlooked at later meetings without careful review of
all information. The solution is to use databases with
appropriate filtering mechanisms. Here is more on the pitfalls of meetings and possible solutions.
